Title: Governance & Compliance Coordinator   Reporting to: Chief Operations Officer (COO) Department:  COO Office Location:  ICGP, 4-5 Lincoln Place, Dublin 2 / Hybrid Contract type: Full time / permanent / 35 hours per week (occasional Saturday work will be required)  Closing Date:  5pm on Monday 29th April 2024 About the ICGP The Irish College of General Practitioners is the postgraduate training body (PGTB) responsible for postgraduate education, training and research in the specialty of General Practice. The College has a national advisory role in relation to medical standards and engages with the Medical Council, Department of Health and Children, the Health Service Executive and the Health Information & Quality Authority among others. As a membership organisation, the ICGP is responsible for providing and supporting continuous professional development for general practitioners, numbering over 4,000. The ICGP is the PGTB accredited by the Medical Council to provide professional training for approximately 1,000 doctors wishing to enter the specialty of General Practice. Job Purpose  This post plays an important role in supporting the development and management of ICGP's corporate services. Working alongside the CEO's Executive Assistant this senior administrative role is responsible for ensuring that the ICGP's governance, compliance arrangements and documentation are efficiently organised and implemented and reflective of best practice. This is a highly skilled, multi-tasking senior administrative role which supports the Chief Executive Officer and Chief Operations Officer This post oversees ICGP's framework for monitoring and reporting compliance with all relevant legislative and regulatory requirements and ensures the College has robust risk management, policy frameworks and documentation in place that are fully operational and up to date. Key result areas Governance: Oversee the administration of the communication and documentation for the ICGP Board and Council. Co-ordinate and assist with the planning of the weekly operational management and senior leadership team meetings. AGM: Ensure the preparation and delivery of the ICGP Annual General Meeting is in accordance with ICGP's Constitution. Board Matters: Collate, and prepare as required, all papers and supporting materials for the Board in addition to advising the CEO, COO and Chair of the Board on governance matters, supporting them as required with administration. Plus, proactively co-ordinate and deliver Board inductions for new Board members and organise ongoing training opportunities and evaluations for Board members in liaison with the CEO and COO. Board & Council actions: As per the 3 above, prepare and maintain Board and Council documentation in an orderly and accessible format and proactively follow up actions. Regulatory bodies: Prepare and ensure all relevant filings with all regulatory bodies as required. Governance registers: Ensure all ICGP's governance registers are up to date. Legal administration: Liaise with legal advisors on relevant matters as directed by the CEO and/or COO. Managing change: Keep up to date on changes in governance, legislation and regulation. Ensure to bring these to the attention of the ICGP SLT, Operations teams and the Finance, Audit & Risk Committee. Governance Framework: Maintain and enhance ICGP's framework for ensuring it is compliant with all legislative requirements and best practice, including GDPR, health and safety, etc. Research: Proactively research changes in compliance requirements, analyse their impact for ICGP and recommend the actions needed to the CEO, COO and Board Chair. Risk Management: Support the Management Team in the development and implementation of ICGP's risk management framework and advise the SLT and Operations Team on developments related to risk management. Risk registers: Co-ordinate updates to the ICGP's risk registers and ensure reports are available for key meetings. Corporate policies: Maintain ICGP's corporate policies and schedule of updates and assist in drafting policies, where required. Person specification This is a varied and interesting role, that it will provide a great opportunity for an individual joining the College at a time of significant growth and development. Qualifications & experience A relevant third level qualification or a minimum of 5 years' work experience in supporting governance, compliance, or a complimentary function. Strong prior experience in one or more of the functional areas of Corporate Governance, Risk Management, Compliance, or Quality Assurance relevant to ICGP (Charity Regulator Authority, Companies Registration Office & GDPR). Experience and at ease with the drafting of accurate, accessibly written and concise meeting minutes, policies and reports. Excellent interpersonal communication skills, writing and editing abilities with a strong attention to detail. Technical competencies Advanced user of MS Office Suite, especially PowerPoint & Word. Excellent ICT skills with capacity to maximise technology to increase efficiency.   Behavioral Competencies Exemplary organisational, multi-tasking and project management capabilities.  Strong work ethic, personal drive, and commitment to attaining results.
