About Coimisiún na MeánCoimisiún na Meán has been established further to the provisions of the Online Safety and Media Regulation Act (“OSMR Act ”). The OSMR Act was enacted on 10 December . The OSMR Act amended the Broadcasting Act to establish Coimisiún na Meán and dissolve the Broadcasting Authority of Ireland (“BAI”).In addition to undertaking the functions of the BAI as the regulator for broadcasting in Ireland, Coimisiún na Meán is to establish a regulatory framework for online safety, update the regulation of television broadcasting and audiovisual on-demand services, and transpose the revised Audiovisual Media Services Directive into Irish law.MissionOur mission is to ensure a thriving, diverse and safe online and media landscape. It means children and all of us being protected from harmful content. ​​As a member the facilities team, you will be joining An Coimisiún at a very exciting time of ambitious and significant change for media regulation. You will have an opportunity to support the team in the implementation of operational work and facilities management.​​Role Purpose​​You will play a vital role in contributing actively to the implementation of the organisation’s strategic objectives, to the continuous improvement of the organisation in terms of its effectiveness and efficiency and to demonstrate behaviours consistent with the organisation’s culture, values and reputation.​ ​The facilities team is tasked with various duties aimed at maintaining the smooth and efficient operation of the workspace. Key responsibilities in an office environment include organizing maintenance and repairs, overseeing cleaning and janitorial services, managing vendors and suppliers, fostering environmental sustainability, handling utilities, preparing for emergencies, managing space, and ensuring security and safety.​ ​The role presents an opportunity for a driven, passionate, and dedicated professional with a strong dedication to serving the public interest and possessing excellent expertise in Facilities Management. You'll be joining Coimisiún na Meán during a particularly exciting period of ambitious and significant changes in media regulation. As a Facilities Coordinator within the Commission, you'll support the Facilities Manager in overseeing a critical function to ensure that the regulator has the necessary services to tackle the challenges of regulating a dynamic multimedia landscape and modern society. This position will primarily involve office-based work, with some flexibility for hybrid arrangements.​​Key ResponsibilitiesExecutive Officer roles within Coimisiún na Meán are key support roles encompassing operational activities and project management. ​​Executive Officer responsibilities will include, but are not limited to:-​​·Assisting in the implementation of operational work activities and supporting Line Managers and colleagues;​​·Carrying out research on various areas of An Coimisún’s work to support the work of the teams;​​·Drafting correspondence to stakeholders outlining Commission decisions and notifying of consultations;​​·Analysing and preparing responses to non-routine issues, queries, correspondence etc.;​​·Supporting the preparation and submission of returns to the Department Tourism, Culture, Arts, Gaeltacht, Sport, and Media;​​·Contributing to and carrying out project work as and when required;​​·Providing Clerical Officers with on-the-job training and support to deliver objectives;​​·Supporting good practices throughout the organisation, in line with An Coimisiún’s policies and requidata and file management rements;​​·Taking ownership of assigned tasks and prioritising competing tasks in order to ensure that they are completed on time and to a high standard;​​·Presenting material (written and oral) in a clear, concise, comprehensive and convincing manner;​​·Sharing information, knowledge and experience with colleagues with the purpose of assisting the team and organisation to meet its objectives;​​·Administration duties, as required, to support the relevant team.​​·Overseeing schedules for building and equipment maintenance.​·Addressing urgent maintenance requests promptly.​​·Developing emergency plans, including building evacuation procedures.​​·Conducting tests on security systems and promoting overall building safety.​​·Managing procurement of equipment and supplies, such as furniture, telecommunications, kitchen appliances, office equipment, and climate control systems.​​·Facilitating communication with vendors and suppliers on behalf of senior management.​​·Providing regular reports to the Facilities Manager.​​·Manages janitorial vendor services to ensure facilities are maintained at an appropriate level of cleanliness.​​·Coordinating and setting up for special events in the office.​​·Documenting procedures and maintaining maintenance records.​​·Monitoring expenditure within the maintenance budget.​​·Creates and assist in the management of Purchase Requisitions in the Finance system.​​·Manage car parking requests for staff and visitors.​​·Maintaining an inventory of consumables and placing orders in advance of depleting stock levels.​​·Manage all couriers, post and deliveries and carryout inhouse deliveries when required.​​·Facilitate catering orders/delivery for various department meetings and other events.​While performing routine tasks are a core element of the role, it also demands flexibility to be responsive to organisational needs as they arise. As the organisation continues evolves and expands, it is likely that the duties will also evolve.About youExperience, Skills, Knowledge & Qualifications​​Essential​​·Minimum of 2 years’ demonstrable relevant experience of developing and supporting effective processes and workflows;​·Level 6 or higher on the National Framework of Qualifications or equivalent 2+ years’ experience in a related role within the Public Sector;​·Proven experience in managing projects;​·Excellent organisational skills and attention to detail;​·Ability to work on own initiative;​·Strong verbal and written communication skills, including report writing skills and the ability to engage clearly, succinctly, and with confidence;​·Ability to handle various tasks under pressure and meet deadlines;​·Proficient in Microsoft Office;​·Problem-solving and critical thinking abilities;​·Strong interpersonal skills and the ability to work effectively in a team.​​Desirable​·Previous experience in a supervisory role;​​·A keen interest in pursuing office/business administration or related qualification;​​·Fluency in or a working knowledge of the Irish language​​·A minimum of 2 years of experience in facility coordination, project management, or real estate.​​·Ability to respond to building and equipment emergencies.​​Application Process
