We have been Building Excellence for over 150 years by building trust, certainty, and value for our clients.Role - Divisional Administrator - Limerick / GalwayWe require an experienced Divisional Administrator in either our Limerick or Galway office to provide a broad range of administrative support and coordination services to the respective Divisional Team. The Divisional Administrator will be the key point of contact for meeting coordination, team support and any ad hoc administrative tasks. They will be a professional administrator who works with integrity and discretion at all times.Key ResponsibilitiesManages all correspondence in a proactive manner.Prepare meetings, prepare collateral and wrangle the working group members to achieve their tasks.Undertakes any ad hoc administrative tasks as requested.Maintains a log of messages and actions for review on a periodic basis.Take ownership for diary management and coordination with the business and external stakeholders.Arranges meeting rooms and room setups as required.Collates the monthly board packs and circulates in a timely fashion to allow meeting participants to review the content in advance.Coordinates the necessary approvals for expense claim forms, subsistence payments and other associated documentation or E-approvals in a timely and efficient manner.Manages event logistics for the division and works with others in relation to companywide events.Logs all credit card and personal receipts on the online expenses system and uploads the relevant information for payment. Submits mileage claims in line with diary records.Experience & SkillsExcellent Interpersonal and Organisational skills.Can clearly demonstrate a flexible approach to work.A strong track record of proactive diary management. The ability to utilise the full suite of Microsoft Office tools (Word, Excel, PowerPoint, Adobe, etc.).The ability to exercise the utmost discretion in dealing with sensitive data. Experience prioritising a range of activities or projects on behalf of an organisational leader.Is familiar with social media platforms and how to use them effectively.Qualifications/TrainingRequired Qualifications/TrainingSignificant experience of working within the Construction Industry.ECDL, Pitman or equivalent qualification.Desirable Qualifications/TrainingA Business Administration or related qualification.Has a keen interest in the use of technology to improve efficiency.Remuneration & BenefitsCompetitive salaryPension26+ days annual leaveMuch more!At present we can only consider candidates that are currently residing in Ireland who meet the above-mentioned criteria.
