We recognise that a skilled, satisfied and motivated workforce is a prerequisite to high quality care.purpose of the role:The Administration Assistant, Grade IV will be responsible for ensuring the smooth running of the administration support for the department they are assigned to. overview of role:Key Duties and ResponsibilitiesProvide general administrative support to the department / Clinical staffDeal with telephone queries relating to the department functionLiaise with staff in other departments, the public and outside agencies in a confidential, courteous and professional mannerLiaise with Consultants and their Multi-disciplinary Teams where appropriateEnsure correspondence with GP’s/other Hospital’s is dealt with in a timely manner and scanned to the Emergency Dept systemTake all relevant demographic details from patients who attend the Adult Emergency Department.Collect the government health levyLocate charts from the medical records department as requiredMaintain efficient general office procedures as appropriate to the postType and file all general correspondence and documentation in relation to the work of the DepartmentEnsure all relevant documentation is prepared for the patient on their departure from the department i.e. making out-patient appointments, admitting patients into the hospital for overnight care.Scan all relevant documentationProvide reception service – phones/visitors/securityProvide clerical cover to the nurses station in the Emergency DepartmentUse of computer packages relevant to the roleCarry out any other duties, which may be assigned from time to timeQualifications & Experience requiredMust have:Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalentOrHave passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5OrHave satisfactory relevant experience which encompasses demonstrable equivalent skillsAnd2 years relevant administration experiencePractical experience of use of IT systems / packages Fluent command and understanding of the English language to include spoken and written wordDesirable:Minimum of 1 year’s administration experience in Acute ED Healthcare environmentExperience of Microsoft office i.e. Word, Excel, Outlook, PowerPointReward & RecognitionRemuneration is in accordance with the Department of Health Consolidated Salary Scales, grade code 0558.The appointment is specified purpose 35 hours per weekThe annual leave entitlement is 27 working days per year. The leave year runs from 1st April to the 31st of March each year. Hours of work will be 3 shifts per week (can be from Mon to Sun and including bank holidays) Shifts can be 20.30 – 0700, 10.30-21.00 and 15.30 to 02.00
