Job Description: Receptionist at ATC Language SchoolsPosition: ReceptionistLocation: ATC Language Schools Job Purpose:The Receptionist at ATC Language Schools plays a pivotal role in ensuring a seamless experience for our students, from their arrival to their day-to-day activities. Serving as the face of the school, the Receptionist not only handles administrative tasks but also contributes significantly to student welfare, making sure our students feel welcomed, informed, and cared for. Core Duties & Responsibilities:1. Student Welfare:Prepare and distribute welcome packs and ID cards for new students.Warmly greet students on their first day, providing directions for their placement test.Conduct inductions for new students, as needed.Offer assistance to students in their native language, when possible.Handle general student welfare inquiries, including helping schedule appointments with doctors, understanding Irish visa regulations, and more.Facilitate student accommodation bookings and redirect specific inquiries to the appropriate department.Escalate adult students’ accommodation concerns to the Student Welfare & Social Programme Coordinator.Support the organization of the social programme when required.2. Administration:Generate student arrival lists for weekends.Dispatch pre-arrival correspondence to agents/new students weekly and verify flight details.Coordinate with host families about student arrival times for weekends.Enter student information and registration details into the school database.Prepare student letters for various purposes including holidays, bank account openings, PPS Number applications, student Leap cards, and GNIB.Collaborate with the booking department regarding student holiday requests.Aid the Student Welfare & Social Programme Coordinator in updating visa student reports and send them to GNIB weekly.Handle incoming calls, check voicemails, and redirect to the appropriate departments.Receive, sort, and distribute mail to the respective departments.Order essential items such as stationery and supplies for the smooth operation of the school.3. General:Ensure fire exits are clear each morning and promptly address any obstructions.Manage walk-in and telephone inquiries.Process payments for various services including social activities, exam fees, and accommodation.Oversee the maintenance of coffee and vending machines, liaising with service providers when needed.Conduct weekly checks on fire extinguishers to ensure safety compliance.Contribute to the daily operations of the school, ensuring a welcoming and efficient environment. Qualifications:Excellent communication skills, both verbal and written.Ability to speak multiple languages is a plus.Strong organizational and multitasking abilities.Familiarity with basic office equipment and software.A friendly and welcoming demeanor.Knowledge of local regulations, especially related to student visas, is desirable.
