Job Purpose   Working with all departments and providing the best possible customer care and administrative support. Providing a friendly environment where queries are handled professionally and with confidentiality.     All employees are expected to honor the privacy of the resident. Respect for the individuality, dignity, autonomy, and empowerment of the resident must underpin all activities and interactions undertaken during the course of their duties   Key Responsibilities   KRA: Personal Presentation                    Ensuring that one's personal demeanor, attitudes, and interactions are at all times professional in approach                  Presented in the full company uniform at all times                  Maintaining a high degree of personal hygiene                  Presented in  Personal protective Equipment (PPE) where applicable                  Practice and promote Nursing home guidelines on handwashing and Infection Control to protect oneself and others                  Adherence to guidelines on Absenteeism Lateness and sickness     KRA: Job Application - Reception   Responsible for the operation of the switchboard and redirect calls in a professional and courteous manner Maintaining an organized, neat and tidy office Providing secretarial support for managers where needed Proficient use of the word, email, internet, excel, PowerPoint, photocopier, franking machine, fax machine, and other office equipment. Completing all the paperwork involved in admitting and discharging Residents Imputing residents details files to ensure all are up to date Receiving and recording cash receipts. Issuing receipts to customers Coordinating incoming and outcoming mail Refer any queries regarding bed vacancies to the relevant manager Filing residents details and archiving old files Ordering any supplies using the Company purchasing system Co-ordinate complaints handling and compliance with the Complaints policy   KRA: Health and Safety Awareness   Adherence to precautions identified in the infection control policy Attending to any spillages or hazards to avoid any accident Assisting in the disposal of clinical waste in line with the Nursing home      policy Application of 'Manual Handling' Techniques as trained Compliance with fire safety regulations Compliance with the Safety statement with emphasis on ergonomics Ensuring the work area is a safe environment for residents and visitors Familiar with the Health and safety at work Act 2005 Compliance with H.A.C.C.P guidelines and all 'Food Safety' best practices Adherence to all national and local health and safety policies and guidelines Carry out practical duties only when competent to do so Reporting any defects in equipment   KRA:  Communication and Relationships   Directing any queries regarding residents welfare to the Nursing staff Working as part of the team Attending department meetings as required Aware of all internal memos and directives by management Attending the six-monthly communication meetings Communicating any grievances with line management Maintaining an open and honest relationship with all departments including the kitchen, Activities, Maintenance, finance, Human Resources, and Owners   KRA:  Administration and Continuous Improvement   Attending mandatory training and other training as directed Attending probationary meetings in the first 6 months of service with the nursing home Attending six-monthly appraisals with the Line Management Aware of all policies and any changes or amendments that are made to the nursing home policies Contributing to own personal development and attending training and development where needed   Demonstration of Values   All employees should continually promote the legacy of Company Culture by demonstrating its values Competence, Integrity, and Ethics, Teamwork, and Communication.   Confidentiality   It is a condition of employment that staff will not disclose any information obtained during the course of their work other than to those entitled to receive it.   Variation to duties   You may be required to undertake other duties as may reasonably be expected of you within the scope of the post.
